What is a Exchange Agreement
A Exchange Agreement (EA) means that two Roundtable Associations sign a contract to exchange members for their AGMs, HYMs or every other frequent or annual meeting.
The idea behind the EA is, to get the the participating associations members to travel without having to pay the huge costs of registration and accommodation because it is kind of prepayed by the associations board via the seat at their own event.
Normally in the EA there is written down for which event and for how many attendees it does apply to, if there is just registration or even accommodation (and if it is hotel or home hosting) is included and till how many days prior the event the participant has to be registered.
Many associations try to offer several different EAs for different Events and to different Countries to their members as a great service and added value for their membership. The value of one EA can easily outpace many countries yearly club and/or national fees of several years of membership
As the tickets are very popular in some clubs there have to be strategies to get them to different Tablers every year β for example trying to advantage freshmen, young Tablers or Tablers that need to be funded to be able to do international travel at all.
